Job Description
The Member Engagement & Executive Operations Manager will be a key member of the small MIF team, responsible for keeping the Executive Director’s work running smoothly, ensuring high-quality logistics for MIF’s working groups, and deepening relationships with our growing membership network. The role is roughly one-third executive support, one-third program and working group logistics, and one-third member stewardship, with some variation over the course of the year based on events and organizational priorities.
This position is ideal for someone who is highly organized, enjoys working behind the scenes to make complex projects run smoothly, and is energized by building relationships with funders and partners in a mission-driven context.
Key responsibilities
1. Executive support (approximately 1/3)
- Provide proactive administrative and strategic support to the Executive Director, including calendar management, scheduling, and coordination of internal and external meetings.
- Prepare the Executive Director for key engagements by assembling briefs, background materials, agendas, and follow-up notes.
- Track commitments and action items from meetings, ensuring follow-through and clear communication with staff, members, and partners.
- Support board-facing logistics as needed (scheduling, materials compilation, simple slide decks, and document organization).
- Assist with drafting and proofreading emails, correspondence, and light presentation or memo materials on behalf of the Executive Director.
2. Working group and program logistics (approximately 1/3)
- Project manage logistics for MIF’s working groups and other member cohorts, including scheduling meetings, managing invitations and RSVPs, and coordinating with hosts, speakers, and vendors.
- Own the operational timeline for recurring working group activities (virtual convenings, in-person meetings, small peer-learning sessions), ensuring smooth execution from planning through follow-up.
- Handle event logistics such as Zoom setup, tech checks, basic slide or run-of-show preparation, and day-of support for both virtual and in-person gatherings.
- Maintain accurate records of working group participation, notes, and follow-up items in MIF’s CRM and shared systems.
- Coordinate with colleagues on communications related to working group activities (event descriptions, reminder emails, and post-event follow-up such as sharing resources or recordings).
3. Membership and stewardship (approximately 1/3)
- Serve as a friendly, reliable point of contact for members and prospective members, responding to inquiries and helping them navigate MIF’s offerings.
- Support member onboarding and renewals, including drafting welcome messages, tracking membership status, and ensuring accurate data in the CRM.
- Prepare simple member engagement reports or lists (e.g., who attended events, lapsed members, prospective member follow-up) to inform outreach strategies.
- Coordinate regular touchpoints with members, such as check-in emails, brief surveys, or invitations to relevant programs, in collaboration with the Executive Director and other staff.
- Help maintain and improve the overall member experience by tracking feedback, documenting needs and interests, and sharing insights with the team.
Qualifications/Skills
- Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines in a fast-paced, small-team environment.
- 4-year degree
- At least 3–5 years of professional experience in roles such as executive assistant, project manager, program coordinator, membership or development associate, or similar.
- Excellent written and verbal communication skills, including comfort corresponding with senior leaders in philanthropy and nonprofits.
- Demonstrated ability to build and maintain positive relationships with colleagues, partners, and/or clients or members.
- Comfort with technology and online tools (calendar management, video conferencing, CRM or databases, shared documents and project trackers).
- A self-starter mindset, with curiosity and willingness to pitch in across the organization as needs evolve.
- Commitment to the mission of strengthening media in the public interest and interest in learning about media and journalism funding.
